1. Membership Terms and Conditions
1.1 Agreement to Terms
By joining BCoE, all members agree to be bound by this Policy, the BCoE Editorial Policy and any applicable terms for specific activities, events, or programmes. These terms form the basis of your relationship with BCoE and CIHT as the hosting organisation.
1.2 Eligibility and Membership Categories
BCoE membership is open to individuals in England, working in or with a professional interest in local bus policy, service delivery, or related transport functions. This includes, but is not limited to, staff at:

Local Transport Authorities
-
Combined Authorities and Mayoral authorities
-
Sub-national Transport Bodies
-
Bus operators and industry bodies
-
Central government (including the Department for Transport)
-
Academic institutions, research organisations, and consultancies
1.3 Changes to Membership Criteria
We may amend our membership criteria, categories, or levels from time to time. Any material changes will be communicated to existing members by email and published on the BCoE website with reasonable notice before taking effect.
1.4 Termination of Membership
Members may terminate their BCoE membership at any time by notifying bcoe@ciht.org.uk. BCoE reserves the right to revoke membership where a member has failed to comply with the Code of Conduct or these terms. Upon termination, personal data will be retained only in accordance with CIHT's data retention schedule and will not be used for ongoing BCoE member communications.
2. Code of Conduct at BCoE Events
2.1 Introduction
BCoE is a professional community that values respect, integrity, and inclusivity. This Code of Conduct applies to all members and participants at BCoE events, both in-person and virtual. By attending a BCoE event, you agree to abide by this Code. Violations may result in removal from the event and, where serious, revocation of BCoE membership.
2.2 Respectful and Professional Conduct
All participants are expected to communicate respectfully and professionally at all times. This includes:

Maintaining a constructive tone in discussions, including in areas of disagreement.

Using appropriate language at all times; offensive, violent, or sexually explicit language is not acceptable.

Acting in a manner that upholds the integrity and reputation of BCoE and CIHT.

Disclosing and managing any potential conflicts of interest.
2.3 Inclusivity and Zero Tolerance for Harassment
BCoE's community is diverse. We are committed to providing an environment in which all individuals are treated with dignity and respect, regardless of race, ethnicity, nationality, gender, age, sexual orientation, disability, or religion.
Harassment, discrimination, and bullying in any form are not tolerated. If you witness or experience inappropriate behaviour, please report it to the event organiser immediately. All reports will be treated confidentially.
2.4 Virtual Event Etiquette
When participating in virtual events:

Keep your microphone muted when you are not speaking, to minimise background noise.

Allow others to speak and avoid talking over other participants.

Be mindful of your background and ensure your surroundings are appropriate for a professional setting.
3. Events Terms and Conditions
3.1 Event Eligibility
BCoE events are primarily intended for BCoE members. Some events - including the BCoE Bus Forum meetings and selected workshops or sessions - may be open to non-members or delivered by invitation. Where applicable, attendees who are not BCoE members may be contacted with information about how to join.
3.2 Recording Policy
BCoE may record events and sessions for use in promotional materials, learning resources, or other purposes deemed appropriate by the organisation. Recordings may be shared via the BCoE website, social media, or other platforms such as YouTube. Attendees will be informed before recording begins. If you have concerns about being recorded, please contact the event organiser prior to the event.
3.3 Data at Events
Personal data provided at event registration will be processed in accordance with this Privacy Policy. Your name, job title, and organisation may be shared with other delegates, speakers, and co-organisers for pre- and post-event networking purposes. If you do not wish your details to be shared in this way, please email bcoe@ciht.org.uk before the event.
3.4 Cancellation by BCoE
BCoE reserves the right to amend, reschedule, or cancel any event. This may occur due to circumstances beyond our control, including where minimum attendance numbers are not achieved. In such cases, registered delegates will be notified promptly and offered a full refund (where applicable) or the option to transfer their registration to another event in the same year.
3.5 Cancellation by Delegates
Delegates may cancel their place and receive a full refund, where applicable, provided written notification is received at bcoe@ciht.org.uk at least one calendar month prior to the event date. Where a booking or administration fee has been charged, a handling fee of up to 10% may be deducted from any refund.
3.6 Delegate Substitutions
If a registered delegate is unable to attend, a substitute may be nominated at no additional charge by emailing bcoe@ciht.org.uk.
3.7 Payment Errors
Where a credit or debit card payment is made in error, BCoE will issue a refund within ten working days of the error being reported in writing to bcoe@ciht.org.uk. This does not affect your statutory rights.
3.8 Force Majeure
BCoE will not be liable for failure to reimburse delegate fees where delegates are unable to attend due to circumstances beyond BCoE's reasonable control, including personal circumstances, illness, travel disruptions, or other force majeure events.
4. General Terms and Conditions
BCoE may amend these terms and conditions at any time to reflect changes in applicable law, regulatory requirements, technological developments, or operational requirements. Changes will be posted on the BCoE website (www.buscentreofexcellence.org.uk) and the CIHT website (www.ciht.org.uk). Continued use of BCoE services and platforms constitutes acceptance of any updated terms.
